revolutionSCREEN · Knowledge base

Microsoft SharePoint

Microsoft SharePoint · Premium — connects your SharePoint environment with revolutionSCREEN. Once connected, content (news, announcements) from a SharePoint site is played automatically on your displays – optionally targeted via an advanced query (KQL).

Purpose

With the SharePoint integration you bring existing intranet content to your screens without duplicate maintenance: as soon as new posts appear in SharePoint, revolutionSCREEN picks them up automatically. Using the advanced query, you precisely control which content (e.g. by department or location) is shown.

Applications

This is what Microsoft SharePoint looks like on the screen – examples from real use:

Requirements

  • An active revolutionSCREEN account with access to my.rstv.app.
  • A reachable SharePoint site plus an account with read rights.
  • At least one screen set up for playback.
  • Since SharePoint is a Premium app: the corresponding activation in your account.

Install the app

Open my.rstv.app and go to Apps. In the Alle (All) list, find the Microsoft Sharepoint tile (category Interne Kommunikation · Office Tools) and click it.

App Store: click the „Microsoft Sharepoint" tile.
App Store: click the „Microsoft Sharepoint" tile.

The detail page opens. If the app is not yet installed, first click Installieren (Install). Then (or if it already says Installiert / Installed) click Neue Instanz (New instance).

What is an instance?

An instance is a specific, configured output of the app – that is, a connected SharePoint source with its display settings. You can create multiple instances (e.g. per site or query) and assign them to different screens.

Manage instances

After clicking, you land in the app's instance management. Here you see existing instances and create another one with Neue Instanz (New instance, top right).

Instance management: create „Neue Instanz" (New instance) top right.

Connect & configure SharePoint

In the editor, enter an instance name at the top and choose Tags and the Format. On the left under Zugang (Access), sign in via einloggen (log in) with your SharePoint account – once the connection is active, it shows logged in. On the right, the live preview runs with real content.

Configured instance: settings on the left, live preview on the right.

The settings in the left area – field by field:

  • Zugang (Access): connected SharePoint account (status logged in).
  • Logo: choose your own logo via Bilder (Images).
  • Layout: arrangement of image and text, e.g. image right, text left.
  • Textfarbe / Hintergrundfarbe (Text color / Background color): colors of the board (e.g. text #000000, background #4A90E2).
  • Primäre / Sekundäre Schriftart (Primary / Secondary font): fonts for title and body text (e.g. D-DIN).
  • Sprache (Language): display language of the content.
  • Beiträge (Posts): number of posts shown (e.g. 12).
  • Dauer (in Sekunden) (Duration in seconds): display time per post (e.g. 10).
  • Standorte (Locations): the SharePoint site to read from (site URL).
  • Titelbild / Inhalt (Title image / Content): field mapping – which SharePoint field the image (e.g. thumbnail) and text (e.g. description) come from.
  • Erweiterte Abfrage aktivieren (Enable advanced query): enables the KQL query to filter precisely (e.g. metadata_department:hr).
  • Standardbild (Default image): fallback image when a post has no image of its own.
  • Bild strecken (Stretch image): scale image to fill the format (toggle).
  • Name des Standorts / Author / QR Code anzeigen (Show location name / author / QR code): show or hide individual elements.

Check the query

If no or incorrect content appears, check the Standorte (Locations) URL, the account's read rights and – if active – the advanced query (KQL). Also make sure there is enough contrast between text and background color.

Display duration in Playlist & Layout

Microsoft SharePoint shows several posts per instance in sequence. When you add the instance to a Playlist or a Layout, you control how long it runs via the element duration. To do so, click the Dauer (Duration) of the app element in the playlist.

Note: This logic applies to all apps with multiple posts per instance – e.g. ahead, SharePoint or Beekeeper.

In the „Wall @home" playlist, click the duration of the SharePoint element.
In the „Wall @home" playlist, click the duration of the SharePoint element.

In the Elementdauer bearbeiten (Edit element duration) dialog, the pro Post (per post) toggle decides between two variants:

Variant 1: pro Post = OFF (total duration)

The set time is the total duration of the instance. Example 00:01:40 (100 seconds): the instance is shown for 100 seconds. The posts run through one after another during this time and start over again if needed – so depending on the time, not all posts are necessarily shown (or some are shown multiple times).

pro Post = OFF: the time applies as the total duration of the instance.
pro Post = OFF: the time applies as the total duration of the instance.

Variant 2: pro Post = ON (duration per post)

The set time applies per post. Example 00:00:10: Each post is shown for exactly 10 seconds. With 12 posts, all 12 posts are shown for 10 seconds each (total duration 120 seconds). This ensures that every post really appears.

per post = ON: the time applies per post – all posts are shown.
per post = ON: the time applies per post – all posts are shown.
Rule of thumb

Do you want every post to appear reliably? Turn on per post and set the seconds per post. Fixed time specification (e.g. for timing a Playlist)? Leave per post off and set the total duration.

Save & play out on the screen

  1. Name the instance, connect SharePoint, set site/query and appearance.
  2. Save at the top right with Speichern & Schliessen (Save & Close).
  3. The instance is now available under the app.
  4. Assign it to your screen – directly as content or embedded in a Layout or a Playlist.
  5. On the next sync, the SharePoint content appears on the display and updates automatically.

Tips & troubleshooting

Preview stays empty

Connect the SharePoint account via einloggen (log in) and check the Standorte (locations) URL.

Wrong content

Filter specifically via Erweiterte Abfrage (advanced query, KQL) – e.g. by department or category.

No image in post

Check the field mapping Titelbild (title image) or set a Standardbild (default image).

Content does not appear

Check whether the instance is assigned to the correct screen/Layout and the Player is online.
